Letter of motivation for Germany: the short version
A German letter of motivation (Motivationsschreiben) is a short, formal letter to an admission committee or scholarship panel: who you are, why this programme, and why you'll succeed in it. It's closer to a business letter than to the long personal essay many Indian students know as an SOP. In Germany the two names are often used for the same document; our SOP for MS in Germany guide covers essays, word limits at TUM and Bonn, and AI rules.
Key takeaways
- It can decide your admission. Hamburg's IAS master's weights the motivational letter at 40%;[1] Bremen's Process-oriented Materials Research at 10%.[2]
- Usually one page, at most two. TU Dresden's Nanoelectronic Systems allows one page in font size 11;[3] Göttingen's Intercultural Theology master's suggests "ideally" one page, "max. 1,5 pages".[4]
- Follow the format. Sender, recipient, date, a subject line, a formal salutation and a signature. Some programmes, like TU Berlin Urban Management, reject unsigned letters.[5]
- Don't repeat your CV. The same Göttingen guidance: "Do not use your letter of motivation to repeat your CV" and avoid "platitudes, flowery phrases and flattery".[4]
- Scholarships have their own rules. DAAD EPOS wants one letter covering all your programme choices;[6] some schemes ask you to sign that you wrote it "by myself, without outside help".[7]
- The visa letter is separate and must be yours. The German Missions in India say it "cannot be drafted by a third party".[8]
How much the letter of motivation counts
Where programmes publish their selection criteria, you can see exactly how much weight your letter carries. It ranges from decisive to minor:
| Programme | Weight of the letter | What else counts |
|---|---|---|
| University of Hamburg, Intelligent Adaptive Systems (IAS) M.Sc. | 40%, the largest single criterion | Answer why the IAS master's, why Universität Hamburg, why Hamburg and why Germany[1] |
| University of Bremen, Process-oriented Materials Research M.Sc. | 10% | Degree grade 60%, essay 30%; name a potential mentor in the letter[2] |
| KIT, Architecture M.Sc. | 5 points (max. 500 words) | The portfolio counts 80 points[9] |
Even where the weight is small, a weak letter can tip a borderline case. Where it's large, as at Hamburg, it matters as much as your grades.
Letter of motivation format for German universities
TU Darmstadt's writing centre advises keeping the classic letter elements: sender, recipient, date, subject line, and at the end the closing and your personal signature. It also says the letter shouldn't run past 1.5 to 2 pages.[10] Unless the programme gives its own rules, use this layout:
| Part | What to write | Tip |
|---|---|---|
| Sender | Your full name (as in your passport), city, email and phone | Top left. Skip your date of birth and full home address unless asked. |
| Recipient | "Admission Committee, [programme]", then the university | Use a professor's name only if the programme names one. |
| Date | 11 October 2026 in English; 11.10.2026 in German | Use one format throughout. |
| Subject line | "Letter of motivation: [programme], winter semester 2027/28" | In German letters, leave out the word "Betreff" and the full stop.[11][12] |
| Salutation | "Dear Members of the Admission Committee," or "Sehr geehrte Damen und Herren," | In German, the next paragraph starts with a lowercase letter.[13] |
| Body | 4–5 short paragraphs (see the structure below) | One idea per paragraph; no headings unless the programme asks for them. |
| Closing | "Yours sincerely," or "Mit freundlichen Grüßen" | No comma after "Mit freundlichen Grüßen".[13] |
| Signature | Sign by hand, scan, then type your name below | Required by some programmes and scholarships; harmless elsewhere. |
Font and spacing: where a programme sets them, follow them exactly (TU Dresden Nanoelectronic Systems: one page, font size 11).[3] Otherwise a plain font at 11–12 pt with 1.15–1.5 line spacing reads well. Save as PDF.
What goes in each paragraph
- Why this fieldA concrete starting point: a project, module or problem you worked on. Not childhood, not a quote.
- How your degree fitsThe modules, credits and grades that match the entry requirements. Göttingen warns: don't repeat your CV; explain what it shows.[4]
- Your best evidenceOne project, internship or job, with your role and a result.
- Why this programme and universityName modules, specialisations, labs or researchers. TU Darmstadt's mathematics master's asks you to justify your interest in the specialisations you want;[14] Bremen asks you to name a potential mentor.[2]
- Your goalWhat you'll do after the degree. TU Darmstadt's writing centre warns against justifying your choice by salary.[10]

Letter of motivation rules at German universities
These programmes publish clear rules. They show how different the requirements are, so always read your own programme's page. For more programmes, including TUM, Bonn, Göttingen and Stuttgart, see the limits table in our SOP guide.
| Programme | Length and format | What they ask |
|---|---|---|
| TU Dresden, Nanoelectronic Systems M.Sc. | Max. 1 page, font size 11 | Required in both the uni-assist and TU Dresden document checklists[3] |
| TU Dresden, Computational Modeling and Simulation M.Sc. | No length stated | Listed as a programme-specific document[15] |
| University of Hamburg, IAS M.Sc. | Not stated | Why the IAS master's, why Universität Hamburg, why Hamburg, why Germany; 40% of the assessment[1] |
| University of Bremen, Process-oriented Materials Research M.Sc. | Not stated | Name a potential mentor to supervise and advise you; 10% of the assessment[2] |
| KIT, Architecture M.Sc. | Max. 500 words | 5 points in the ranking; the portfolio counts far more[9] |
| TU Berlin, Urban Management M.Sc. | Hand-signed | Unsigned documents that require a signature are not accepted[5] |
| TU Darmstadt, Mathematics M.Sc. (international applicants) | Not stated | A meaningful letter explaining your interest in your chosen specialisations[14] |
| HAW Hamburg (general master's guide) | Not stated | Why your chosen subject, and why at HAW Hamburg (guide dated 2022)[16] |
Your letter is read together with your CV for masters in Germany and the rest of your application documents, so make sure the dates, grades and projects match.
Motivation letters for DAAD and other scholarships
Scholarship panels read differently from admission committees: they want to know why you, why now, and what the funding will change. Their rules are also stricter about length, signatures and authorship.
| Scheme | Rule |
|---|---|
| DAAD EPOS (development-related postgraduate courses) | Send the same letter to every programme you choose, with detailed reasons for your choices and your order of preference.[6] At Freiburg's MEG programme, no longer than two pages, ending with a signed confirmation that you wrote it "by myself, without outside help".[7] |
| DAAD Helmut-Schmidt-Programme | A single letter even when applying for two master's courses, max. two pages, explaining why your first choice is your first choice.[17] |
| DAAD applicants at TU Berlin Urban Management | All information on the DAAD application form must match your letter of motivation.[5] |
| Deutschlandstipendium, TU Dresden | One A4 page, font size at least 10. No classic letterhead, and leave out your address, phone, email, student number and date of birth.[18] |
| Deutschlandstipendium, TH Deggendorf | Max. 1 page.[19] |
| Deutschlandstipendium, Hochschule Rhein-Waal | About one A4 page and never more than two, font size 11–12. "The motivation 'I need money' is not enough."[20] |

Motivation letter for the German student visa
The visa letter is a separate document from your university letter, and you write it for a visa officer, not a professor. The German Missions in India ask for a letter on why you want to study in Germany, which should also explain your choice of course and university, how you found that university and what your plans are after graduation.[21] You upload it with your other documents when you apply through the Consular Services Portal.[21]
- Write it yourself. There's "no specific format", but the letter "has to come from your end and cannot be drafted by a third party".[8]
- Be ready to talk about it. You attend your visa interview yourself, and your documents are checked at your appointment.[8]
- Keep it consistent with your admission letter, your CV (which the Missions want in table form)[21] and your blocked account and funding.
- Language course visa? Explain why you're taking the course, the level you aim to reach and how it will help your personal development or career.[22]
The rest of the visa file, from appointments to fees, is in our Germany student visa guide.
Writing your Motivationsschreiben in German
For German-taught programmes, or if you want to show your German, write the whole letter in German, and get a native speaker to check it. Some programmes accept either language: Göttingen's Applied Computer Science takes a letter in English or German.[23] A few conventions trip up most learners:
| Part | German | Note |
|---|---|---|
| Subject line | Bewerbung um einen Studienplatz im Masterstudiengang [Name] | No "Betreff", no full stop[11][12] |
| Salutation | Sehr geehrte Damen und Herren, | Comma, then start the next line in lowercase[13] |
| To a named professor | Sehr geehrte Frau Professorin [Name], / Sehr geehrter Herr Professor [Name], | Use the title they use on the university page |
| Closing | Mit freundlichen Grüßen | No punctuation after it[13] |
| Tone | Ich möchte … / Ich habe … | Avoid hedging like "ich würde gerne" too often; the TU Darmstadt writing centre says subjunctive phrasing sounds unsure[10] |

10 letter of motivation mistakes Indian applicants make
- Two or three pages when the programme asked for one.
- Retelling the CV line by line instead of explaining what it shows.
- Flattery: "your esteemed, world-renowned university". Göttingen asks applicants to avoid "flattery".[4]
- The same letter for every programme (the exception is DAAD EPOS, which wants one letter for all choices).
- No signature where the programme or scholarship wants one.
- Copying the guidance questions into your letter instead of answering them in your own flow.[24]
- "I need money" as the reason for a scholarship.
- A visa letter written by an agent, which the Missions say cannot be drafted by a third party.[8]
- An AI-written letter. Hochschule Rhein-Waal says it notices when a generic letter is "purely written by ChatGPT or another AI program".[20]
- Facts that don't match your CV, transcript, DAAD form or visa file.

Letter of motivation for Germany: 15 questions Indian students ask
Format
How long should a letter of motivation be for a master's in Germany?
Usually one page, at most two, unless the programme says otherwise. TU Dresden's Nanoelectronic Systems master's allows one page in font size 11; KIT Architecture 500 words; Göttingen's Intercultural Theology master's suggests ideally one page and at most one and a half.
What is the format of a German letter of motivation?
A formal letter: your name and contact details, the recipient (the programme's admission committee and university), the date, a subject line, a formal salutation, four or five short paragraphs, a closing and your signature. Save it as PDF.
Is a letter of motivation the same as an SOP in Germany?
Mostly. German universities often use the names for the same document. An essay on a set topic, as at TUM, is a different document scored separately; see our SOP guide.
Do I need to sign my letter of motivation?
If the programme or scholarship asks, yes. TU Berlin's Urban Management master's doesn't accept unsigned documents that need a hand signature, and some DAAD-scheme programmes want a signed letter. Signing is harmless elsewhere.
How do I start a letter of motivation for a German university?
With "Dear Members of the Admission Committee," in English or "Sehr geehrte Damen und Herren," in German, then a first sentence about a concrete project or question that led you to the field. Avoid childhood stories and quotes.
How do I end a letter of motivation in German?
"Mit freundlichen Grüßen", with no comma after it, followed by your signature and typed name.
Content
What should I write in a motivation letter for a master's in Germany?
Why this field, how your degree fits the entry requirements, your best project or job with a result, why this programme and university (named modules, specialisations or researchers), and your goal after the degree.
Should I write the same motivation letter for all universities?
No, for university admission: each letter should name the programme and what in it you want. The exception is DAAD EPOS, which asks you to send the same letter to every programme you choose, with your order of preference.
How important is the letter of motivation in Germany?
It depends on the programme. At the University of Hamburg's IAS master's it's 40% of the assessment; at Bremen's Process-oriented Materials Research 10%; at KIT Architecture 5 points against 80 for the portfolio.
Can I write my letter of motivation in English?
Yes, for English-taught programmes. For German-taught programmes write in German. Göttingen's Applied Computer Science master's, for example, accepts a letter in either language.
Scholarships and visa
How long is a DAAD motivation letter?
Usually at most two pages. DAAD EPOS programmes such as Freiburg's MEG ask for no more than two pages with a signed statement that you wrote it yourself; the Helmut-Schmidt-Programme wants one letter of up to two pages, even for two courses.
What should a motivation letter for the German student visa include?
Why you want to study in Germany, your choice of course and university, how you found the university, and your plans after graduation. It must be your own letter: the German Missions in India say it cannot be drafted by a third party.
Is the motivation letter uploaded on the Consular Services Portal?
Yes. The German Missions in India list the motivation letter among the documents you're asked to upload when applying through the Consular Services Portal.
Can I use ChatGPT to write my motivation letter?
Don't. Hochschule Rhein-Waal, for example, says it notices letters "purely written by ChatGPT or another AI program", some scholarship schemes make you sign that you wrote it without outside help, and the visa letter must come from you.
Can Yastudy write my letter of motivation?
We coach and review; you write. We plan each paragraph with you and check fit, format and consistency. We never draft visa letters or letters you must declare are your own unaided work.
